One Word, Many Jobs
“Secretary” sounds like a single role. It is not.
The word covers a family of jobs that share the same core skills, then split by focus, knowledge, and confidentiality. An executive secretary and a school secretary share more in common in spirit than in daily tasks.
Titles and duties also vary by country, so the same person can hold different names in different places. And one title, the company secretary, is not an administrative job at all.
The best way to understand any secretary role is to ask three questions. Who do they support? What knowledge do they need? How much confidentiality comes with it?
Executive and Personal Secretaries
These roles serve one senior person, usually a leader, executive, or public figure.
The work is close and continuous: managing the calendar, guarding the inbox, arranging travel, preparing materials, and knowing what deserves attention before it is asked. Discretion is the whole job. An executive or personal secretary often becomes the gatekeeper of the leader’s time.
Administrative and Office Secretaries
These roles support a team, a department, or a whole office rather than one person.
The work is broader and more generalist: documents, meeting logistics, records, communication, and the everyday routines that keep an office moving. In a small office, this person may handle a little of everything, including reception and office supplies.
The line between “secretary” and “administrative assistant” is thin and mostly historical. Many organizations now use the two titles interchangeably.
Legal and Medical Secretaries
These are the specialist branches. The role is the same shape, but the setting demands extra knowledge.
A legal secretary works with legal documents, case files, court schedules, and legal terminology, often under strict confidentiality rules. A medical secretary manages patient records, appointments, and clinical correspondence, and must handle sensitive health information with care.
Both are closer to subject-matter roles than general office support. They show how the secretary’s core skills adapt to the world they serve.
School Secretaries
Every school has one: the person at the front desk who knows everything.
A school secretary manages student records, communicates with parents and staff, keeps schedules straight, and handles the daily flow of a busy building. The job blends administration, care, and crisis management in equal measure.
Company Secretaries Are Different
One title causes endless confusion, so it deserves its own section.
A company secretary is not an assistant. In most jurisdictions it is a senior governance officer with legal and statutory duties, such as board minutes, regulatory filings, and compliance. In some places the role is required by law.
In the United States the term often means “corporate secretary,” a similar governance function. Either way, this role belongs in the boardroom, not at the reception desk.
How to Tell Them Apart
When you meet a “secretary,” a few quick clues reveal the real job:
- Who do they support? One person, a team, or an institution?
- What knowledge is required? General office skills or specialist training?
- What level of confidentiality applies? Ordinary, sensitive, or statutory?
- Is it an administrative role or a governance role?
Answer those and the title stops mattering. The substance of the role becomes clear.
